Call Recording Policy

How and why Synergis may record business telephone calls and how those recordings are handled.

Last updated 23 September 2026

Why we record calls

Synergis Strategic Resourcing Limited operates telephone systems capable of recording incoming and outgoing calls. Calls may be recorded for training and coaching, service quality, compliance, confirming material recruitment discussions, investigating complaints, resolving disputes, protecting our business and supporting legal or regulatory requirements.

Scope

Some incoming and outgoing business calls may be recorded. Recordings are not routinely listened to and are accessed only where there is a legitimate business reason.

If a conversation becomes clearly private or unrelated to Synergis business, it should not form part of routine monitoring or review.

Lawful basis

We principally rely on legitimate interests where recording is necessary and proportionate for the purposes described above, while balancing those interests against the rights and freedoms of the people on the call. We may also process recordings where necessary to comply with a legal obligation or to establish, exercise or defend legal claims.

Retention

Call recordings are normally retained for up to 24 months. A particular recording may be retained for longer where it is required for an active complaint, investigation, legal claim, regulatory matter or another documented legal or operational reason. It will be securely deleted when that reason ends and no further lawful retention requirement applies.

Access and security

Recordings are treated confidentially and access is restricted to authorised people who require it for a legitimate purpose. Recordings are stored using the security measures applied to our business systems and are not used for unrelated purposes.

Your choices and rights

If you do not wish a call to be recorded, please tell the Synergis team member at the beginning of the call so that an appropriate alternative can be used where practicable.

You may also exercise applicable rights in relation to personal data contained in recordings. Contact admin@synergisxec.com. See our Privacy & GDPR notice for more information.
