Candidate Privacy Notice

What happens to your information when Synergis identifies you, speaks with you, receives your CV or supports you through a recruitment process.

Last updated 23 September 2026

Who this notice covers

This notice applies to prospective candidates, registered candidates, applicants and placed candidates whose personal data is processed by Synergis Strategic Resourcing Limited.

Where candidate information comes from

We receive information directly from candidates and may also identify professional information through job boards, LinkedIn and other professional platforms, referrals, previous recruitment activity, clients and publicly available professional sources.

Typical information includes contact details, CV and career history, skills, qualifications, role preferences, remuneration information, availability, location and communications with Synergis.

How we use candidate information

  • to assess experience and suitability for current and future opportunities;
  • to contact you about relevant roles or market opportunities;
  • to manage applications, interviews, offers and placements;
  • to maintain an accurate recruitment record in systems including Firefish;
  • to provide recruitment advice and maintain our professional relationship with you;
  • to comply with legal, regulatory and contractual obligations and to resolve disputes.

We commonly rely on legitimate interests for professional recruitment activity where those interests are not overridden by your rights. We use consent where it is the appropriate lawful basis.

Sharing with clients

We may discuss an anonymised or high-level profile with a client while assessing potential fit. We will obtain your agreement before formally presenting identifiable candidate details or a CV to a client for a specific role or process, unless another lawful basis clearly applies and the circumstances justify it.

Sensitive and vetting information

We only request or use special-category data, criminal-conviction information, right-to-work evidence or other intrusive vetting material where it is relevant and lawful. Such information is subject to additional safeguards and is retained only for as long as the particular purpose requires.

How long we keep candidate records

Recruitment relationships can continue over many years, but candidate information is not kept simply because it might become useful one day.

Ordinary candidate, CV and recruitment records are reviewed after 24 months without meaningful interaction. Where there remains a genuine recruitment relationship or legitimate professional purpose, the record may be refreshed and retained. Otherwise it will be deleted or anonymised. More sensitive vetting information is normally removed sooner when its specific purpose has ended.

Your choices and rights

You can ask us to update inaccurate information, tell us that you do not wish to be contacted about opportunities, object to certain processing, or exercise applicable data-protection rights including access, erasure and restriction.
