What we collect

Depending on our relationship with you, we may collect information including:

  • name, contact details and professional profile;
  • CV, employment history, education, qualifications, skills and career preferences;
  • remuneration, benefits, availability, location and right-to-work information where relevant;
  • communications with us, including email, telephone and recruitment activity;
  • client, supplier and business-contact information;
  • information supplied by you, public professional sources, job boards, LinkedIn, referrals, clients and other recruitment sources;
  • special-category or criminal-conviction information only where relevant, lawful and necessary for a particular purpose.

How we use personal data

We use personal data to provide recruitment and executive-search services, identify and assess potential opportunities and candidates, manage applications and introductions, maintain candidate and client relationships, respond to enquiries, operate our website and systems, meet legal and regulatory obligations, protect our business and resolve complaints or disputes.

We do not sell personal data.

Lawful bases

Our processing may rely on one or more lawful bases under UK data-protection law, including legitimate interests, performance of a contract or steps requested before entering a contract, compliance with legal obligations, and consent where consent is the appropriate basis.

Recruitment activity commonly relies on legitimate interests where it is reasonable to expect a recruitment business to identify, contact and assess people for relevant professional opportunities. We balance those interests against the rights and interests of the individual.

Where special-category data is processed, we will also identify an appropriate condition under applicable law and apply additional safeguards.

Sharing and international transfers

We may share relevant information with prospective employers and clients, technology and service providers supporting our recruitment operations, professional advisers, regulators and authorities where required.

Our recruitment systems include Firefish Software and other suppliers used to operate our business. Service providers may process personal data only for authorised purposes and subject to appropriate contractual and security arrangements.

If personal data is transferred outside the UK, we use an applicable adequacy decision or appropriate safeguards where required by law.

How long we keep information

We keep personal data only for as long as it remains necessary for the purposes for which it was collected, including recruitment activity, maintaining professional relationships, legal obligations and the establishment, exercise or defence of legal claims.

Your rights

Subject to the circumstances and applicable law, you may have rights to request access to your data, correction, erasure, restriction of processing, portability, and to object to processing. Where processing relies on consent, you may withdraw that consent.

We may need to verify your identity before dealing with a rights request. We normally respond to valid requests within one month, subject to the extensions permitted by law.

You may also complain to the Information Commissioner’s Office at ico.org.uk.
